The 5-Minute Test
Before asking AI to do anything, ask yourself three questions:
- Could I explain this task to a new hire in 5 minutes? If yes, AI can probably do it.
- Would I trust a smart intern with it? AI performs at about that level: fast, needs clear instructions, needs review.
- Can I verify the output? If you can check it against a source document or known benchmark, AI is a good fit.
Two yeses? Worth trying.
How to Talk to AI: The CRIT Framework
AI responds to how you ask, not just what you ask. Every interaction has four parts.
| Step |
What to Do |
Example |
| Context |
Describe the situation, data, and stakes |
"I run a 12-person services company with $1.8M revenue..." |
| Role |
Tell AI what expert to be |
"Act as a financial analyst with small business experience..." |
| Interview |
Let AI ask you questions first |
"Ask me up to 3 clarifying questions before you start." |
| Task |
Specify the deliverable and format |
"Flag any expenses 10%+ over budget. Use a table." |
The Interview step is the most underused part. Letting AI ask you questions before it answers catches blind spots and dramatically improves the output.
Where Businesses Are Leaving Money on the Table
Bookkeeping / Accounting
You're categorizing invoices manually when AI can classify transactions against your chart of accounts in seconds. GL coding, bank reconciliation, anomaly flagging. The repetitive work becomes a review task, not a data entry task.
Service Businesses
Every client engagement could have an AI-generated deliverable attached. Intake summaries, progress reports, budget vs. actuals, renewal recommendations. Deliver a document and bill for value, not just time.
Real Estate / Property Mgmt
You're pricing by feel when you should be pricing by data. Market comps, rent gap analysis, turn cost projections, portfolio valuation. AI closes that gap in hours, not weeks.
Law / Insurance / Financial
Research, document review, contract comparison, client intake, renewal tracking, policy comparison. AI produces a briefing document before your meeting starts.

The Honest Limits
- AI does not replace expertise. It multiplies it. If you don't know what good looks like, AI won't either.
- AI does not have judgment. It has pattern recognition. Relationships, trust, negotiation: still yours.
- Sensitive data requires caution. Know where your data goes before you paste client financials into any tool.
